Control workflow in an automotive service environment

Overview

The qualifying learner is capable of controlling, balancing and channelling the work flow to the correct technical staff with the necessary skills in time to complete the required work at the required time at the optimum cost of labour/sales and authorising, with evidence thereof, for additional work to be completed. This unit standard makes provision for the automotive retail industry with special reference to controlling, balancing and channelling workflow to complete required work on vehicles in the following categories; Light commercial vehicles; passenger vehicles; recreational vehicles; Motor cycles; Tri-cycles; Quad cycles; Boats; Off Road (ATR) vehicles and earth moving equipment.

Upon achieving this unit standard, the learner will be able to record and maintain work to be done, ensuring accurate documentation and organisation of tasks. They will be capable of allocating appropriate jobs to identified specific technical staff, optimising efficiency and skill utilisation. Additionally, the learner will be proficient in managing sublet work, coordinating with external parties as necessary. They will also be skilled in gaining approval from customers for extra work required, ensuring clear communication and customer satisfaction.

Course Content

  • The perceived problems and work to be done is recorded in accordance with company procedures.
  • Carry-over work is recorded at the start of each day according to company policy and procedure.
  • Jobs/job cards are loaded onto the control mechanism within a specified time according to standard procedures.
  • New information and regular status reports are recorded on the control mechanism according to workflow practices.
  • An understanding of the work on the job card to be done is described in terms of allocating work to the responsible person
  • The areas of expertise of the various technical staff are described in terms of their competencies and area of responsibility.
  • Jobs are allocated to the technical staff in accordance with their identified areas of expertise and job descriptions.
  • Subcontractors on the company contractor database are categorised according to jobs that may be allocated to them.
  • Sublet work is dispatched to the sub-contractor in accordance with company policy and procedures.
  • Sublet work is monitored according to company policy and procedures to ensure that agreed time frames negotiated with the customer is maintained
  • Sublet work is received from the sub-contractor in accordance with company policy and procedures
  • Customers are contacted within the given timeframes of the companies’ policy to inform them of any additional work that is required or to communicate any delays expected.
  • Quoted price variations are negotiated with the customer and authorisation is obtained
  • The authorisation is recorded on the job card according to standard company procedures.
